Classcard Privacy Policy

We at Classcard (Reportcard, Inc. and our affiliates) are committed to protecting your privacy. This Privacy Policy applies to both our Websites (www.classcardapp.com, www.classcard.app, www.reportcardapps.com, www.reportcard.ae, www.reportcard.site, www.reportcard.tech) and our Subscription Service (the Subscription Service), including our associated mobile applications (Mobile Apps) owned and controlled by Classcard. This Privacy Policy governs our data collection, processing and usage practices. It also describes your choices regarding use, access and correction of your personal information. If you do not agree with the data practices described in this Privacy Policy, you should not use the Websites or the Subscription Service.

We periodically update this Privacy Policy. We will post any privacy policy changes on this page and, if the changes are significant, we will provide a more prominent notice by sending you an email notification, or if you subscribe to the Subscription Service, through the Notification app in your Classcard portal.

While we will notify you of any material changes to this Privacy Policy, we encourage you to review this Privacy Policy periodically. We will also keep prior versions of this Privacy Policy in an archive for your review.

Data Integrity and Security. We use reasonable and diligent efforts to maintain accurate information on our customers, and have adopted and implemented reasonable industry standard security procedures to protect any such information collected. We constantly monitor our systems, which are protected using industry-standard security measures. Although Classcard will use reasonable efforts to secure network communications and our Sites, we cannot guarantee that the information submitted to, maintained on, or transmitted from our systems will be completely secure.

Children’s Information. Classcard’s services, platform, and communications whether educational or marketing in nature are not directed at children under sixteen years of age. We do not knowingly collect personal information from children under sixteen. If we obtain actual knowledge that a child under sixteen has provided personal information to us without parental consent, we will promptly delete that information. Please report any suspected instances to privacy@classcardapp.com.

Information You Provide Voluntarily

Personal Information. This refers to any information that you voluntarily submit to us and that identifies you personally, including contact information, such as your name, e-mail address, company name, address, phone number, and other information about yourself or your business. Personal Information can also include information about any transactions, both free and paid, that you enter into on the Websites, and information about you that is available on the internet, such as from Facebook, LinkedIn, Twitter and Google, or publicly available information that we acquire from service providers.

Personal Information also includes Navigational Information or Payment Information where such information can directly or indirectly identify an individual. Navigational information refers to information about your computer and your visits to this website such as your IP address, geographical location, browser type, referral source, length of visit and pages viewed. Please see the "Navigation Information" section below. Payment information includes; We collect and process payment information from you when you subscribe to the Subscription Service, including credit cards numbers and billing information, using third party PCI-compliant service providers. Except for this, we do not collect Sensitive Information from you.

Sign up Information. When you sign up for the Classcard platform, you will be asked to provide your name, email address, phone number, physical or mailing address, business name, and industry type, as well as information related to your subject offerings, working hours, and staff members.

Student or Staff Information. With your consent, you may add or import staff or student contact information to Classcard for the purposes of scheduling classes, submissions, appointments, activities or tests with staff or students. This information includes the staff or student’s name, phone number, email address, birthday, physical or mailing address, and an image of their likeness. Classcard does not share contact information with third parties without your consent.

Staff Profiles. A Classcard account holder may create one or more additional admin or staff profiles with his or her colleagues, or members of their organization. Those colleagues or members may voluntarily give us certain information. This can include their names, email addresses, phone numbers, and short descriptions of personal or professional characteristics intended to inform the Classcard user’s students or clientele. If you receive an invitation from a Classcard account holder but do not wish to become a Classcard user, please contact the account holder who sent the invitation to discuss other means of managing your interactions.

Student Profiles. A Classcard admin or staff account holder may create one or more student profiles with his or her students or clientele. Those students or clients may voluntarily give us certain information. This can include their names, email addresses, phone numbers, guardian contacts, attendance, assessments, invoices, educational records and a descriptions of personal characteristics intended to inform the Classcard user. If you receive an invitation from a Classcard account holder but do not wish to become a Classcard user, please contact the account holder who sent the invitation to discuss other means of managing your interactions.

Study Resources. With your consent, you may add resources to Classcard. This can include presentations, videos, links, photos, attachments for the purposes of sharing study resources with your students or clientele. Classcard does not share resources with third parties without your consent.

Billing Information. If you purchase a paid subscription to Classcard, our third-party payment processors will collect and store your billing address and credit card information.

Technical Support. If you call, email, or otherwise contact Classcard for technical support, you may provide personal information such as your name, email address, or phone number to Classcard.

Third Party Integrations within Classcard

Classcard integrates with a number of third-party apps and software platforms to allow for greater functionality and expanded services offerings. Some examples of these integrations include MailChimp and Intercom, for which the Classcard user must maintain their own MailChimp or Intercom account, respectively. If you use these integrations within Classcard, you should be aware of the separate privacy policies for those services and platforms. It is also important to obtain your customers’ consent before passing or transmitting their personal information from Classcard to a third party app.

When handling requests from your customers to remove personal data from your systems, you may be obligated to remove personal data from any third party platforms that you have activated an integration with in your Classcard account. Classcard cannot, for example, delete personal information held by MailChimp as part of your usage of a MailChimp account. However, Classcard will practice due diligence in supporting any requests to delete personal information from a third party app, service, or platform, insofar as Classcard can assist in helping the Classcard’s user communicate those requests to third party apps, services, and platforms directly.

Information Collected Automatically

Cookies. A cookie is a small data file that is automatically saved on your computer's hard drive when you visit a website. These cookies may contain information used to record the websites you visit, but do not contain any personally identifiable information such as your name, address, or credit card information. Classcard uses cookies to give you a personalized experience. If you have signed up with Classcard, cookies allow our website to recognize you when you return and give you access to your personal account options. We may also use cookies to keep track of the ways in which customers find us and navigate through our website. This information will be used internally to help us determine where improvements can be made to our website and services. If you do not wish cookies to be saved to your system, you may change your browser's settings so that your computer does not accept them. If cookies are disabled, however, you will not be able to purchase our product and we will not be able to recognize you as a registered user.

Device Data. When you visit our websites or use the Classcard platform, Classcard may automatically record information that includes the web address that you came from and are going to, your device model and unique identifier, operating system type and version, browser type and version, IP address, mobile network carrier, timezone and location. Whether or not Classcard collects some or all of this information depends on what type of device you use and your device settings. To learn more, please check the policies of your device manufacturer and software provider, and the settings on your device.

Analytics and Web Behavioral Data. Classcard uses third party service providers such as Google Analytics and Hotjar to learn more about how users interact with our websites and the Classcard platform. This includes the collection and tracking of data regarding the characteristics, including demographic information such as male/female gender, and activities, such as time spent viewing a specific webpage, of visitors and users. You may opt-out of Google Analytics, and Hotjars tracking. Refer to the section “Your Rights and Choices” below for more information.

How We Use Your Information

Classcard may use personal information about you to provide Platform-related services, including:

The ability to schedule events with your students and staff online. This may include personal information about you, including your name, phone number, email address, links to social media profiles, and images depicting your likeness that you provide willingly to Classcard. This may also include information about your business, including your business name, industry type, contact information, physical location, branding elements including but not limited to your business logo, and any subject offerings and their associated costs.

The ability to understand and improve Classcard products. From time to time, Classcard may conduct surveys or issue requests for beta testers to measure and analyze user interest in products, services, content, or technical support. Information you provide may include your name, phone number, email address, business name, and industry type. Classcard does this to help improve the platform and refine the quality of educational or advertising communications.

Issue service-related communications. Subject to your opt-out preference, Classcard may send you service and administrative emails, in-app messages, or push notifications to your mobile device to inform you about events on your schedule, reschedulings or cancellations, attendance, assessments, resources added or shared, changes made to your platform configurations (such as changes made to staff working hours), transactional information about payments received from customers or refunded to customers, as well as any new features, security issues, or platform outages that may affect your usage of the Classcard platform. You may opt out of receiving these communications at any time; refer to the section “Your Rights and Choices” below for more information. Classcard does not share your information with third-party advertisers who would send you communications promoting their goods or services.

Send promotional communications. Subject to your opt-out preference, Classcard may send you emails or mail about special offers, gifts, platform features or paid subscription offerings that we think are relevant to you. You may opt out of receiving these communications at any time; refer to the section “Your Rights and Choices” below for more information. Classcard does not share your information with third-party advertisers who would send you communications promoting their goods or services.

Provide technical support. We will use your information when responding to your questions, comments, feedback, or requests for technical support.

Protecting rights and interests. We may use your information when it is reasonably necessary to comply with legal process, respond to claims, or protect the rights, property or safety of our company, employees, customers, or the public.

Meeting legal and tax compliance. We may use your information to meet legal or regulatory requirements, including the reporting of financial information (such as payments submitted to Classcard) for tax purposes.

Navigational Information

We use Navigational Information to operate and improve the Websites and the Subscription Service. We may also use Navigational Information alone or in combination with Personal Information to provide you with personalized information about Classcard.

Customer Testimonials and Comments

We post customer testimonials and comments on our Websites, which may contain Personal Information. We obtain each customer's consent via email prior to posting the customer's name and testimonial. If you wish to update or delete your testimonial, you may contact us at privacy@classcardapp.com.

Third Parties With Whom We Share Information

Classcard uses other service providers and third party platforms to perform key functions on our behalf or assist in providing services to you. A list of such providers used by Classcard as of May 25, 2018 is given below; Classcard may add future providers or third parties as consistent with this Privacy Policy. Key functions for each third party may include the following:

  • SendGrid. The sending of event - confirmations, reminders, reschedule notices, cancellations, attendance, assessment, resource - addition, sharing, invites to access a student profile, invites to access a staff profile, requests for reviews, and thank-you emails.
  • Crisp. The tracking of account-related information such as sign-up date and date the user last accessed the subscription service, the tracking of device information such as browser, operating system, and device type, the sending of educational or promotional content through email or in-app messages, and facilitating one-on-one instant chat sessions between the Classcard user and a Classcard support staff.
  • Mobishastra. The sending of SMS reminders and notifications to the Classcard user’s end customer in UAE.
  • Digital Ocean. The hosting of the subscription service and any data accrued via usage of the Classcard platform, as consistent with this Privacy Policy.
  • Amazon Web Services. The hosting of our website and any data accrued via usage of the website, as consistent with this Privacy Policy.
  • Stripe. The processing of payments and the tracking of payment information for subscribers of Classcard’s paid products.
  • Google Analytics. The tracking of activities from users on the Classcard websites and the Classcard platform. This may include but is not limited to time on site, bounce rate, click rates, and more.
  • Fullstory & Splitbee. The tracking of behavioral data from users of the Classcard websites and the Classcard platform. This may include but is not limited to click maps, scrolling behaviors, click rates, and more.

Your Rights and Choices

Communicating with a Supervisory Authority. If you are located in the European Economic Area (EEA), you have the right to reach out and communicate with a supervisory authority in relation to the processing of your Personal Data, but we would appreciate the opportunity to speak with you first and resolve your issues.

Request to Delete Data. You may submit a written request to delete all personal information from the Classcard platform. Classcard will fulfill the request within 30 days of the receipt of request. The Classcard account owner should email a formal request to privacy@classcardapp.com to initiate this process.

As a Classcard user, you may also manually delete individual staff profiles or student profiles in your Classcard account. If a customer requests that you delete their personal information, you may also pass on this request to the Classcard privacy team for processing, by having the account administrator send an email to privacy@classcardapp.com.

Request to Correct Personal Information. You may submit a written request to correct any inaccuracies in your personal information that is held by Classcard. Please have the Classcard account holder send all such requests to privacy@classcardapp.com. Upon receipt of the request, Classcard will fulfill the terms of the request within 30 days.

Request for Records (Data Portability). You may also submit a written request for Classard to provide you historical staff, student, events, attendance and assessment records from your account, or any other personal data about you that Classcard maintains. Please have the Classcard account holder send all such requests to privacy@classcardapp.com. Upon receipt of the request, Classcard will fulfill the terms of the request within 30 days.

Unsubscribe to Emails. At any time you may unsubscribe from Classcard promotional and educational emails by following the “unsubscribe” link in the footer of every email.

Cookies. You may disable or restrict cookies by modifying your browser settings.

Third Party Analytics. You may opt out of Google Analytics, and Hotjars tracking by using the Opt-Out features on each service provider’s website.

If you want to exercise your rights as Data Subjects under GDPR with respect to Customer information, we recommend that you reach out to the company to whom you provided your personal information. We will, of course, assist our customers in responding to Data Subjects questions and requests.

Links to Other Websites

There may be links to other websites from our websites. Classcard does not control any third- party websites and we are not responsible for these sites' use of personal information. We encourage you to become familiar with the privacy practices of any linked site when you visit them.

Retention of Data Classcard will generally retain your information for as long as reasonably necessary to provide services to you, and to comply with applicable laws. After you deactivate your account, Classcard will continue to retain copies of information to comply with our legal obligations (for example, maintaining records of payments made to Classcard for tax and financial auditing purposes).

Transfer or assignment in connection with business transfers or bankruptcy. In the event of a merger, acquisition, reorganization, bankruptcy, or other sale of all or a portion of our assets, any user information owned or controlled by us may be one of the assets transferred to third parties. We reserve the right, as part of this type of transaction, to transfer or assign to third parties your Personal Data and other information we have collected from users of the Services. Other than to the extent ordered by a bankruptcy or other court, or as otherwise agreed to by you, the use and disclosure of all transferred user information will be subject to this Privacy Policy. However, any information you submit or that is collected after this type of transfer may be subject to a new privacy policy adopted by the successor entity.

Best Practices for Meeting GDPR Compliance with Your Customers

“General Data Protection Regulation” (GDPR) is a European Union (EU) regulation designed to protect EU citizen privacy when it comes to submitting personal data to a business or service. Classcard is generally considered to be a “data processor,” which provides tools to help you as a Classcard user become GDPR compliant, but ultimately that responsibility is up to you as the “data controller.”
